Yogyam is an India-based workforce-readiness and international recruitment organisation.

In this policy, “Yogyam”, “we”, “us” and “our” refer to the organisation operating this website and its services.
2. Scope of this policy
This policy applies when you:
- visit the Yogyam website;
- submit a candidate, employer or general enquiry;
- take part in a Yogyam recruitment, placement, training or workforce-readiness pathway;
- communicate with us by email, telephone, WhatsApp at +91 93250 42467, video call or another approved channel; or
- provide documents or information for an employer, professional-recognition, visa, relocation or related process.
Our services are intended for adults aged 18 or above. We do not knowingly collect personal data from children.
3. Information we collect
We collect only information reasonably required for recruitment, placement and directly related preparation or administration.
Depending on your relationship with Yogyam, this may include:
- name, date of birth, nationality and contact details;
- nursing or other professional qualifications;
- academic transcripts and training records;
- professional registration and good-standing information;
- employment history, references and experience;
- language-learning status, examination records and certificates;
- passport, identity and civil-status documents;
- professional-recognition applications and authority correspondence;
- visa, immigration, travel and relocation information;
- employer, vacancy and workplace information;
- interview notes, readiness assessments and preparation progress;
- contracts, invoices, payment records and refund information;
- complaints, grievances and support communications;
- website-security, form-submission and basic device information; and
- health, background or other sensitive information only when it is genuinely required for the stated pathway and you have been clearly informed.
We do not ask for information merely because it may be useful later.
4. Why we use your information
We use personal data solely for recruitment, placement and directly related purposes, including to:
- respond to an enquiry;
- review whether a current opportunity may be relevant;
- verify qualifications, registration, language status and documents;
- prepare a candidate for employer interaction and workplace readiness;
- present a candidate to a verified employer partner after explicit consent;
- coordinate professional-recognition, visa, immigration, relocation or onboarding steps within our agreed scope;
- provide language, readiness or document-support services under a signed agreement;
- communicate process updates;
- manage contracts, payments, refunds and accounting;
- prevent fraud and protect our systems;
- respond to complaints and legal requests; and
- meet obligations under applicable law.
We do not sell personal data. We do not use candidate documents for unrelated advertising.
Marketing messages are sent only where you have opted in or where permitted by law. You may opt out at any time.
5. Our legal basis for processing
Depending on the activity and applicable law, we process data because:
- you have given clear consent;
- processing is necessary to take steps at your request or perform an agreement;
- we must comply with a legal obligation;
- processing is necessary to protect legitimate business, security or legal interests that do not override your rights; or
- a specific legal basis applies to sensitive information.
Where consent is the basis, you may withdraw it for future processing. Withdrawal does not make earlier lawful processing invalid, but it may prevent us from continuing a service that requires the information.
6. Sharing with employers and authorities
We share candidate information only for the recruitment or placement purpose explained to the candidate.
Before sending a candidate profile or documents to a German employer partner, recognition body, visa authority or another independent third party, we obtain the candidate’s explicit consent unless disclosure is required by law.
Information may be shared with:
- verified German employer partners considering the candidate;
- professional-recognition authorities;
- embassies, consulates, visa centres, immigration bodies or other public authorities;
- approved translation, certification, training, relocation or professional-service providers needed for the pathway; and
- legal, accounting, payment, hosting, CRM and secure-storage providers acting on our instructions.
Service providers that process data for Yogyam must use it only for the agreed service and protect it appropriately.
We do not sell or rent candidate profiles to databases, advertisers or unrelated recruitment businesses.
7. International data transfers and GDPR
A Germany-focused pathway requires some information to move between India and Germany or the European Economic Area.
We make such transfers only for the stated recruitment, recognition, visa or placement purpose and with explicit consent where required. We use reasonable contractual, access-control and security measures.
We comply with the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 as they apply. Where Yogyam processes personal data subject to the European Union General Data Protection Regulation, we apply the relevant GDPR principles and cross-border transfer safeguards.
8. Data storage and security
We store information in secure digital systems with access limited to people who need it for the stated purpose.
Our safeguards include, where appropriate:
- role-based access;
- strong passwords and multi-factor authentication;
- encrypted transmission or secure upload channels;
- controlled document sharing;
- confidentiality obligations;
- backups and security updates;
- incident reporting and access review; and
- secure deletion when retention ends.
No system can be guaranteed completely secure. If a breach creates a material risk to individuals, we will notify affected people and authorities without undue delay and within any legally required period.
9. How long we retain information
We apply the following retention periods:
- Unsuccessful or inactive candidate enquiries: up to 24 months after the last meaningful contact.
- Active candidate and placement records: for the duration of the pathway and three years after it closes, unless a longer period is required for a dispute, authority process or legal obligation.
- Employer enquiries and partnership records: three years after the last active engagement.
- Contracts, invoices, receipts and accounting records: eight years, or longer when required by an open audit, tax or legal proceeding.
- Complaints and grievance records: three years after final closure.
- Marketing-consent records: until consent is withdrawn or after 24 months of inactivity, whichever occurs first.
- System backups: deleted or overwritten through the normal backup cycle, generally within 90 days after deletion from active systems.
When data is no longer required, we securely delete or anonymise it.
10. Your rights
Subject to applicable law, you may ask us to:
- explain what personal data we hold and how it is used;
- provide access to your data;
- correct inaccurate or incomplete data;
- delete data that is no longer lawfully required;
- withdraw consent;
- restrict or object to certain processing;
- provide a portable copy where applicable;
- identify the employers or authorities with whom your data was shared; or
- review a privacy concern.

We acknowledge privacy requests within two business days and aim to provide a substantive response within 30 calendar days. We may ask for identity verification before acting.
11. Cookies and website analytics
At launch, the website uses only cookies necessary for security, form operation and consent preferences. A separate Privacy Policy is therefore not required.
If non-essential analytics or marketing cookies are enabled later, they must remain off until the visitor gives consent. This Privacy Policy and the website’s consent controls must be updated before those cookies go live.
12. External websites
Our website may link to official authorities, employers or service providers. Their privacy practices are governed by their own policies. A link does not make Yogyam responsible for the external site.
13. Complaints
Privacy concerns may be sent to hello@yogyam.com with the subject line Privacy grievance or posted to our registered office.
We first try to resolve concerns through the process stated in our Complaints and Grievance Policy. You may also approach a competent data-protection authority where applicable.
14. Changes to this policy
We may update this policy when our services, technology or legal obligations change. The current version will always show its effective date.
